Other personal data we collect (non website-related)
In addition to information collected through our website, we also collect and process personal data from customers in the course of fulfilling orders. This includes details such as name, business address, delivery location, telephone number, email address, and order-specific reference information.
We operate on a principle of data minimisation, collecting only the personal data that is strictly necessary to complete the transaction and fulfil contractual obligations. This data is used solely for the purpose of processing and delivering the customer’s order, managing communications relating to the order, and for record-keeping where required by law (e.g. for VAT or warranty purposes).
Customer data is retained for a maximum of two years from the date of the last relevant order. After this period, the data is securely deleted from our servers in accordance with our internal data retention policy. Earlier deletion may occur where the customer explicitly requests erasure, unless retention is required by law.
Use of Third-Party Services
We use trusted third-party systems to process orders, manage customer relationships, and support logistical operations. These systems process limited personal data necessary for the services they provide.
Before any third-party software is implemented, it is reviewed and approved by our Data Protection Officer (DPO) to ensure it meets our internal privacy standards and complies with the GDPR. This process includes a structured compliance check covering the provider’s data handling practices, security controls (including encryption and access protections), and data residency arrangements.
The DPO carries out a risk-based assessment of the provider’s privacy documentation and, where relevant, conducts a formal privacy impact assessment. Preference is given to providers that store data within the UK or the EEA and who can demonstrate strong data protection safeguards. All suppliers must have appropriate contractual commitments in place, including clauses related to data protection, breach notification, and the right to audit where necessary.
These compliance checks are repeated periodically to ensure continued alignment with our privacy policy, especially where there are changes to the service or its legal context.
